Your Colo Renewal Is Rigged. The Fix Is a 12 Month Head Start

Your data center operator is not going to call you a year before your term ends. They are going to call you about three months out.

That timing is on purpose. At three months, you cannot credibly threaten to leave. And they know it.

Why three months is too late

Moving a data center is slow. You have to order new space, install gear, run cross connects, and physically move everything.

If you start at three months, there is no time. The operator knows you will renew because you have no other option. So they hold firm on price, or push an increase you did not plan for.

The auto renewal trap

Most colo contracts renew for a fixed one year term. You usually cannot get out of that clause. Only the largest customers, like a government agency or a hyperscaler, get it waived.

If you miss your window, you are locked in for another year at whatever they offer.

Holdover is designed to hurt

Say you decide to leave after your term. The operator may let you stay month to month for a few months. It will cost you.

Holdover fees run 20 to 25 percent above your normal rate. That is not an accident. They want it to hurt, so you either sign a new term or get out and free up the space.

One more thing people forget. Billing does not stop until the cabinet is empty. Everything comes out, including the power strips. Then they bill you to the end of the cycle anyway.

The fix: start a year out

Give yourself twelve months before your term ends.

With a year, you can actually shop other sites. You can get real quotes. And the threat of moving becomes real, which is the only thing that moves the price.

When the renewal number comes in, check it against power. If your utility went up 2 percent and they want 7, push back and ask them to show the math.

Put a reminder on your calendar for one year before every colo term ends. That single habit is worth more than any negotiation trick.
